Special Request Policy

Specific Coach Requests

While we absolutely LOVE to hear that our coaches are doing such a wonderful job that parents want their athletes to be with that coach again, the League does not honor requests to be with specific coaches. Our goal and priority is to start each season with fair and balanced teams that grow throughout the course of the season and this is done through our player assessments and draft. Pre-built teams are not permitted in the 14u age group and younger. 

Specific Player Keep-With Requests

The League understands that young athletes want to play with their friends or that parents want to help each other out by carpooling children to events. The league does not guarantee that any request will be honored.  Requests involving more than two players will not be considered and players who do not have any recent assessment data on them will not have their requests honored. 

Practice Day Availability Requests

If the league is informed of any practice day conflicts prior to teams being formed they will make note of the conflict for the coaches to see while forming teams. Requests of more than two days cannot be honored. A coach may select any player during the draft so long as that player does not have conflicts on both of the coaches' assigned practice days.

Team Change Request Policy

In order for a player to switch teams all of the following must be met:

  • Another player in the same region and age group must request to switch teams
  • The practice schedule for the two teams must work for both of the players.
  • The two athletes must be of similar skill level.
  • This must be done prior to our Scrimmage weekend.
In addition to the above criteria having to be met, the players switching teams will be charged for the additional uniform (jersey + shorts) that will need to be ordered.

Refund Policy

Sometimes issues arise and your athlete can no longer participate in the season as originally planned. The league's refund policy is based on when and why a refund request is made. 

Spring & Fall Seasons

  • If a request to cancel an athlete's registration is made prior to our draft week, a full refund will be issued minus the cost of the transaction fees paid by the league.
  • Starting the Monday of our Draft Week through the Week 1 of our regular season, cancellation/refund requests will require a note from a doctor stating the individual will be missing a majority of the season. Families will be issued a full refund minus the cost of the transaction fees paid by the league and the cost of any equipment ordered for the athlete (uniform, flags, etc.).
  • No refunds will be issued after our Week 1 games.
  • Refunds are not issued due to lack of availability due to event conflicts (practices or games).
Summer Camps

  • Refunds will be processed (minus the cost of the transaction fees paid by the league) for cancellations made prior to the close of business on the Friday before the specific camp week.

Gear Exchange Policy

Jerseys
  • Customized jerseys (lettering) and jerseys that have been worn cannot be exchanged.
  • Jerseys that are not customized and have not been worn can be exchanged for a different size. A fee will be charged to cover the shipping of the new jersey.

Shorts
  • Shorts may be exchanged for a different size if the shorts have not been worn. A fee will be charged to cover the shipping of the new pair of shorts.

Socks/Sleeves/Gloves/Headbands

  • These items cannot be exchanged for a different size.

Mouth Guards

  • Unopened mouth guards may be exchanged for a different size.

Volunteer Coach Selection & Coach Pairing Request Policies

Loudoun NFL FLAG is grateful to all of the individuals who volunteer to coach in the league each season.

This is a volunteer position and coaches are selected based on their previous experience (within the league and outside of it), feedback received from parents, coaches, and staff, and need in that division. All coaches must pass a background check in order to be a coach of a team.

Coach Pairing Request

All coach pairing requests are subject to the approval of the League Operator. If the pairing of the two coaches is deemed an unfair pairing (based on the athletic ability of their athletes), the request will be denied. This verdict will not be made until after the player assessments but before the league draft. 

Pairings of three or more individuals will not be considered.

Playing in a Different Age Division Policy

Families may request for their athlete to play up a division if they believe their athlete is not only capable of handling the higher competition but is also having their development being held back by competing against athletes their own age. This request must be approved by the League Operator. The League Operator's decision will be based on the athlete's most recent player assessment data, the opinion of the athlete's most recent coaches, and other data obtained by the League Operator. 

Athletes may not play down a division.

Team Formation Policy

At the start of each season, Loudoun NFL FLAG holds a player assessment for the 8u, 10u, 12u, & 14u age divisions. The coaches and League Operator will then come together to build the rosters via a draft. Pre-built teams are not permitted.

The primary purpose of the player assessments and draft is parity. Any request that conflicts with this purpose will not be honored. 

Players who do not have recent assessment data will not be eligible to be drafted and will be randomly assigned to a team post draft.

Waitlist Policy

As we approach the start of each season, a registration limit may be placed on a division based on the current number of volunteer coaches for that age group and/or the status of field space in that region. Once a division is waitlisted the system will continue to accept registrations for the waiting list.* It is important to note that our divisions may waitlist during the registration period.

There are a few ways an athlete may be able to move from the waiting list to the league's participation list:

  • A spot in the league opens up prior to the draft** (due to a player dropping). In this case the spot will be offered to families in the order they registered for the waiting list. Depending on the proximity of the draft, the time to respond may decrease.
  • If there is a need for a head coach in that specific age division, and a family member of the athlete on the waiting list is able to be a head coach, that player will be let into the league's official participation list (regardless of where they were on the waitlist).
  • If there are enough players on the waiting list to add an entire team's worth of players to the participation list, there is an individual willing to head coach a team, and there is field space and time to do this prior to the league draft, then the spots will be offered to those families.
*The waitlist is free to sign up for, families will only be charged if a spot is offered to their athlete.
**After the draft there is no guarantee players on the waiting list will be contacted if a spot becomes available.

Pro Bowl Selection Policy

Loudoun NFL FLAG holds a Pro Bowl game at the end of every season with the Ida Lee NFL FLAG league. Teams consist of 10 players, two players from each region of the League: Sterling, Ashburn, Leesburg, Brambleton, and South Riding.

Players are selected based on their rankings at our preseason Player Assessment for that season. 

  • The top two ranked players will be offered a spot.
    • Only players with an up-to-date player assessment will be offered a spot (previous assessment numbers will not count)
  • If a player declines the spot or does not respond within the detailed timeframe, the offer will be extended to the next player on the list.
